Terms of Service

These terms govern your use of Virtual Business Mailbox. By signing up you agree to them. Read them before you subscribe.
The service
Virtual Business Mailbox provides a virtual business address service in Denver, Colorado. When you subscribe you receive:
- A real Denver street address with a unique suite number
- Mail receiving and scanning services at Shift Workspaces
- Access to your mail via an online portal
- USPS Form 1583 filing and management
Mail fulfillment is provided by Shift Workspaces, our operating partner in Denver.
Your account
You must provide accurate information when you sign up. Your name, email address, and business name must be correct. Providing false information is grounds for immediate termination of your account without refund.
You are responsible for keeping your account credentials secure. Contact us immediately at {{ .Site.Params.email }} if you believe your account has been compromised.
One subscription covers one business entity. If you need addresses for multiple businesses, you need a separate subscription for each.
USPS Form 1583
Federal law requires you to complete USPS Form 1583 before we can receive mail on your behalf. You must:
- Complete Form 1583 accurately and honestly
- Provide two valid forms of identification as required
- Sign the form electronically via DocuSign within 7 days of signup
We cannot activate your address or receive mail for you until Form 1583 is on file. If you do not complete Form 1583 within 7 days, your account may be suspended. Your subscription fee is non-refundable in this case.
Acceptable use
You may use your Virtual Business Mailbox address for legitimate business purposes including LLC registration, bank account applications, business correspondence, and professional communications.
You may not use your address for:
- Fraudulent or illegal activity of any kind
- Operating a business that violates federal, state, or local law
- Receiving mail on behalf of a third party not covered by your Form 1583
- Any purpose that would violate USPS regulations governing CMRA operations
We reserve the right to terminate any account we reasonably believe is being used for fraudulent or illegal purposes. We will cooperate fully with law enforcement investigations.
Mail handling
We receive and scan your mail on a best-efforts basis. Our standard is same-business-day scanning for mail received Monday through Friday during business hours.
We are not responsible for:
- Mail lost or delayed by USPS or other carriers before reaching our facility
- Mail sent to an incorrect address
- Delays caused by circumstances outside our control
We will notify you by email when mail arrives. You are responsible for logging in and managing your mail in a timely manner.
Mail that is not forwarded, downloaded, or authorized for shredding within 90 days of arrival may be shredded at our discretion. We will attempt to notify you before doing so.
Mail forwarding
Physical forwarding of mail is available on request. Forwarding costs are billed at actual postage cost. We do not mark up postage.
We are not responsible for mail lost or damaged in transit after it leaves our facility.
Packages
We accept packages from USPS, UPS, FedEx, and other standard carriers. Package storage is included for up to 30 days. Packages not claimed or forwarded within 30 days may be returned to sender or disposed of at our discretion after reasonable notice to you.
We are not responsible for packages that are damaged, lost, or stolen before reaching our facility.
Payment and billing
Subscriptions are billed monthly in advance. Your billing date is the day you signed up.
Additional mail pieces beyond your plan limit are billed at $0.35 each. Additional scan pages beyond your plan limit are billed at $0.50 each. These charges appear on your next monthly invoice.
All payments are processed by Stripe. By subscribing you authorize us to charge your payment method on a recurring monthly basis until you cancel.
If a payment fails we will notify you by email and attempt to collect again. If payment is not received within 7 days of the due date, your account may be suspended. Mail received during a suspension will be held for 14 days. If payment is not received within 14 days of suspension, your account will be terminated and held mail may be returned to sender.
Cancellation and refunds
You may cancel at any time from your account settings. Cancellation takes effect at the end of your current billing period. Your address remains active until then.
We do not offer prorated refunds for partial months. If you cancel on day 2 of your billing period, your address remains active for the remaining 28 days and you will not receive a refund for that period.
If we terminate your account for cause — fraud, illegal activity, or violation of these terms — no refund will be issued.
If we terminate your account without cause, we will refund a prorated amount for the unused portion of your current billing period.
Changes to your address
Your suite number is permanent for the duration of your subscription. We do not change suite numbers after assignment except in exceptional circumstances such as a change in our operating facility.
If we must change your suite number, we will give you at least 60 days notice.
Privacy
Our Privacy Policy at virtualbusinessmailbox.com/privacy explains how we collect, use, and protect your information. It is incorporated into these terms by reference.
Limitation of liability
Our liability to you for any claim arising from this service is limited to the amount you paid us in the 30 days before the claim arose.
We are not liable for indirect, incidental, consequential, or punitive damages including lost profits, lost revenue, or loss of business opportunity.
We are not liable for the actions or omissions of USPS, Stripe, DocuSign, or any other third-party service provider.
Some states do not allow limitations on liability. In those states, our liability is limited to the maximum extent permitted by law.
Disclaimer of warranties
We provide this service as-is. We do not warrant that the service will be uninterrupted, error-free, or that your address will be accepted by any specific institution.
We do not provide legal or financial advice. Whether our address will be accepted by a specific bank, government agency, or other institution depends on that institution’s policies, which are outside our control.
Indemnification
You agree to indemnify and hold harmless Virtual Business Mailbox and Shift Workspaces from any claim, damage, or expense — including reasonable legal fees — arising from your use of the service, your violation of these terms, or your violation of any law.
Governing law
These terms are governed by the laws of the State of Colorado. Any dispute arising from these terms will be resolved in the courts of Denver County, Colorado.
Changes to these terms
We may update these terms from time to time. When we do, we update the date at the top of this page. If we make material changes that affect your rights, we will notify you by email at least 14 days before the changes take effect.
Continued use of the service after the effective date constitutes acceptance of the updated terms. If you do not agree to the updated terms, cancel your subscription before they take effect.
